Combining data to import into GoldMine Fields

When importing records into GoldMine from an external database, it is sometimes necessary to split a field, for example: The data being imported may have one whole field used for Title, Firstname and Surname. Eg Mr Tom Smith. You may want to take the first word and third word to make up the 'Dear' field in GoldMine to read Mr Smith, and then only want the Second and Third word for the Contact field to read Tom Smith.

To take care of this, when importing, use the properties button on the mapping screen to add the follow expression.

Imported field contains -- Mr Tom Smith

Word(ImportedField,1)+ “ “+Word(ImportedField,3)  -- Returns Mr Smith

Word(ImportedField,2)  -- Returns Tom

Ford Health choose GoldMine over Microsoft.

"We were going to go from GoldMine Standard Edition to Microsoft until we found the benefits from Premium Edition," IT Manager Daiken Pacey said. "We did get close [to choosing Microsoft], but Goldmine had some really key factors."

The user interface improvements to Goldmine helped minimise training times, as did general stability when interacting with other systems. "It could do so many interfaces that Microsoft CRM either lacked or was a bit too buggy [in use] for our needs."

Despite anticipating problems in moving "from a six-year old package to one that was dated today", Pacey said the eventual migration went very smoothly. "It took us a weekend. It went really well -- we were over the moon."

Accessing the GoldMine address book from Outlook E-mail

You can configure the Outlook integration to allow Outlook users access to a GoldMine Address Book that includes Users, Contacts, Additional Contacts, User Group Distribution Lists, and Contact Group Distribution Lists.

To Configure the GoldMine Address Book:

1. In Outlook, select Tools>>E-mail Accounts. The E-mail Accounts wizard appears.

2. In the Directory area of the E-Mail Accounts dialog box, select Add a new directory or address book.

3. Click Next.

4. On the Directory or Address Book Type dialog box, select Additional Address Books, and then click Next.

5. On the Other Address Book Types dialog box, select the GoldMine Address Book, and then click Next.

6. The GoldMine Integration Services for Microsoft Outlook information dialog box appears. If the GoldMine Path text box is empty or incorrect, click Browse to locate the correct GMW6.exe file. Type your GoldMine User ID and Password.

7. Before continuing, click Select to locate the Contact Set even if it appears properly entered in the text box.

8. Highlight the correct Contact Set and click OK.

9. Click OK to verify that the changes are applied the next time Outlook is run.

10. Click OK to save your changes.

11. Exit and relaunch Outlook.

Outlook now recognizes the GoldMine Address Book. Outlook users sending e-mail can now select the GoldMine Address Book, and choose from GoldMine Contacts, Additional Contacts, Contact Group Distribution Lists, Users, and User Group Distribution Lists. When you select Tools>>Address Book, select GoldMine addresses from the Show Names from the drop-down list


Updating to GoldMine Premium 8.02

Here's some basic instructions on how to upgrade from an older version of Premium to 8.02

Running the Update (Server and Remotes users)

For SQL Users

Make sure you....

1. Backup your GoldMine directory on the server
2. Backup your GoldMine SQL database
3. Log out all users from GoldMine
4. Close down GoldSync
5. Make sure that you are at your GoldMine server and logged in as Administrator
6. Have your SQL sa username and password ready
7. Run the GMSETUP.EXE file and work through the on screen prompts

For Firebird Users

Make sure you....

1. Backup your GoldMine directory on the server
2. Backup your GoldMine Firebird database
3. Log out all users from GoldMine
4. Close down GoldSync
5. Make sure that you are at your GoldMine server and logged in as Administrator
6. Have your Firebird gmsysdba username and password ready
7. Run the GMSETUP.EXE file and work through the on screen prompts
